Remote Bookkeeper or Local Accountant? How Small Businesses Can Use Both

Hiring an Accountant6 min readBy Muhammad Najam Abbas

Cloud accounting has made the location of your bookkeeper largely irrelevant. The question for a small business in London, Manchester or Dubai is no longer “local or remote?” but “which work needs to be local?”

What each role is for

BookkeeperAccountant / tax agent
Core jobRecording and reconciling transactionsYear-end accounts, tax returns, advice
FrequencyWeekly or monthlyQuarterly or yearly
Needs local registration?Usually not to keep records, but check local rulesYes, to file and represent you
Typical cost driverNumber of transactionsComplexity and risk

The case for remote bookkeeping

  • Cost. You are paying for hours of routine work. Doing that work in a lower-cost location frees budget for advice.
  • Consistency. A dedicated bookkeeper who closes your month on a fixed date beats an accountant who catches up once a year.
  • Time zones work for you. Pakistan is four to five hours ahead of the UK and one hour ahead of the UAE, so yesterday’s transactions can be reconciled before your day starts.

The risks, and how to manage them

  • Access: give a named user login in your Xero or QuickBooks file. Never share your own password.
  • Documents: use a shared folder or the receipt-capture tool in your software, not email attachments.
  • Quality: agree a monthly close checklist and ask for a reconciliation report every month.
  • Compliance: keep the tax filing with your locally registered accountant or agent.

A split that works

  1. Remote bookkeeper: bank reconciliation, sales and purchase invoices, receipts, payroll journals, monthly management report.
  2. Local accountant: reviews the quarter, submits VAT or MTD updates, prepares year-end accounts and tax return.
  3. You: approve payments and read one page of numbers each month.

I work this way with clients in the UK and UAE. If you already have an accountant, I can make their job easier. If you do not, I will tell you honestly what you need locally. Start with a free conversation.

Quick answers

Is it safe to use a remote bookkeeper?

It can be, if the bookkeeper works inside your own cloud accounting file with their own user login, you control access, and documents are shared through a secure portal rather than email.
